Terms and Conditions

These Terms and Conditions apply when you book The Toodle Pips for a performance.
We like to keep things friendly and simple, but these terms help make sure everyone knows what has been agreed.
WHO WE ARE
The Toodle Pips is a South Wales based vocal trio.
We are based in Cwmbran, Wales, and can be contacted at:

BOOKINGS
A booking is only confirmed once the agreed details have been accepted by both the client and The Toodle Pips in writing. This may be by email, message, invoice or a signed booking agreement.
Booking details may include:
- event date
- venue or location
- performance time
- agreed fee
- performance length
- travel or extra costs
- any special requests
FEES AND PAYMENT
Fees will be agreed in writing before the booking is confirmed.
Unless agreed otherwise, payment is due in cash or by bank transfer on the day of the performance, or within 3 days after the performance if agreed in advance.
Any travel, accommodation or extra time costs will be discussed and agreed before the booking.
PERFORMANCE LENGTH
Performance times can vary depending on the booking.
We may perform anything from a couple of songs to longer sets, such as 1 x 45 minutes, 2 x 45 minutes, or another agreed arrangement.
The exact performance length and timings will be agreed before the event.
SONG REQUESTS
We are happy to chat about song requests.
Reasonable song requests should be sent at least 30 days before the event, especially if a new arrangement or rehearsal time may be needed.
Final setlists are at the discretion of The Toodle Pips so the performance flows well and suits the event.
PA AND EQUIPMENT
The Toodle Pips provide our own PA and vintage microphones unless agreed otherwise.
The client or venue must provide:
- one safe power point close to the performance area
- safe access for loading and unloading
- suitable space to perform
- one free parking space close to the venue, where possible
If the performance is outdoors, suitable cover must be provided to protect performers and electrical equipment from rain, direct sun and unsafe conditions.
KEEPING MUSIC PLAYING THROUGH PA
Where possible, we may be able to play music through our PA between sets or after our live performance for an extra agreed fee.
This must be discussed and agreed in advance.
VENUE AND SAFETY
The client is responsible for making sure the venue is safe and suitable for the performance.
The venue should have appropriate insurance, including public liability insurance.
The Toodle Pips carry public liability insurance and can provide proof on request.
BEHAVIOUR AND PERFORMER SAFETY
We have a zero tolerance approach to aggressive, abusive, threatening or discriminatory behaviour towards any member of The Toodle Pips.
If unsafe or abusive behaviour occurs, we reserve the right to pause or stop the performance.
In serious cases, no refund will be issued and full payment may still be due.
EQUIPMENT DAMAGE
The client may be responsible for repair or replacement costs if our equipment is damaged through careless, reckless or deliberate actions by guests, venue staff or third parties during the event.
CANCELLATION BY THE CLIENT
Cancellation terms may vary depending on the booking and will be confirmed in writing.
If a client cancels a confirmed booking, any fees already agreed as non-refundable may remain non-refundable. The client may still be responsible for reasonable costs already incurred by The Toodle Pips.
CANCELLATION BY THE TOODLE PIPS
We would only cancel a booking in very rare circumstances, such as illness, emergency or circumstances outside our control.
If this happens, we will do our best to offer a suitable option first, such as:
- a duo performance
- a solo performance
- a rescheduled date
- another agreed arrangement
If no suitable option is available, a refund will be offered for any payment already made for the cancelled performance.
ILLNESS OR UNEXPECTED CHANGES
If one member of The Toodle Pips is unable to perform due to illness or emergency, we may offer a duo or solo version of the performance where suitable.
Any change like this will be discussed with the client as soon as possible.
FORCE MAJEURE
Neither The Toodle Pips nor the client will be liable for failing to meet the agreement where this is caused by events outside reasonable control.
This may include extreme weather, illness, national emergency, venue closure, transport disruption, power failure or other serious unexpected events.
Where possible, we will try to reschedule or agree a fair solution.
FILMING AND PHOTOGRAPHY
We may film or photograph our own performances for social media, website or promotional use. We usually direct filming at The Toodle Pips rather than guests.
Clients and guests are welcome to film or photograph us for personal use.
Please speak to us in advance if you have concerns about filming at your event.
TRAVEL
The Toodle Pips are based in Wales and can travel for bookings across the UK and, where agreed, outside the UK.
Travel, accommodation and related costs must be agreed before the booking is confirmed.
LIABILTY
The Toodle Pips will take reasonable care when performing and using our equipment.
We are not responsible for:
- venue faults
- unsafe venue conditions
- power supply issues
- guest behaviour
- delays caused by the venue, client or third parties
- damage or loss not caused by us
CHANGES TO BOOKINGS
Any changes to times, location, set length or other booking details must be agreed in writing.
We will always try to be flexible where we can, but changes may affect the fee or what can be provided.
